How to respond to Google reviews (with a simple formula)

Google reviews sit on your Business Profile whether you open the app or not. The work is the reply: matching tone, answering the actual comment, and posting before the thread goes cold. This guide is the manual version. Templates live on a separate hub. AI drafts are for when volume outruns typing.

Where you actually click Reply

  1. Go to your Google Business Profile (Search or Maps → your listing → the owner view).
  2. Open Reviews.
  3. Under the review, choose Reply.
  4. Write 40–100 words. Submit. Google reviews owner replies; posting can take a few minutes.

You can also reply in the Google Business mobile app. The public name on the reply is the business, not your personal Google account, when you are posting as the listing.

The four-part reply that works

  1. Thank — use their first name if they published one.
  2. Echo — repeat one specific thing they wrote (the dish, the wait, the tech’s name). If you skip this, you wrote a template.
  3. Fix — only for mixed or negative: what you will do, or that you will take it offline. Do not argue the stars.
  4. Invite — a return visit, a phone number, or a stop. Do not drop a coupon; Google’s policies restrict promotional replies.

Copy-paste starters are on the templates page. Replace every placeholder. If the paragraph could apply to a dentist and a bakery, it is still too generic.

Positive, mixed, negative

5-star: short is fine. Name the thing they liked. 4-star: thank them and ask, once, what would have made five. 3-star: treat it as a process bug, not a war. 1–2 star: apology, one fact, real contact path, then stop. Never diagnose, never name other customers, never call the reviewer a liar in public.
